Sr. Regulatory Affairs Specialist

Implement and manage Flavor Regulatory related activities in accordance with US FDA/FEMA guidelines, customer specific guidelines and various international regulations.  Provide guidance and interpretation of regulations as a resource and mentor to staff members.  In addition, this position manages the TTB filings of Alcohol Drawback and related TTB functions.  This is to be accomplished with the use of SAP, Symcom/EH&S information systems and in coordination with the Formula Administration Group, Sales Service Group, other QR/QA groups as well as the Regulatory Compliance Group in company’s headquarters.  The Sr. Regulatory Affairs Specialist is expected to operate independently within the given job responsibilities, while keeping the Director of Flavor Regulatory informed.  The Sr. Regulatory Affairs Specialist is accountable for legal accuracy of all Drawback claims and related correspondence.

Essential Functions:

  • To independently prepare customer documentation to satisfy customer requests.  Specific documents include:  Natural Certification, FDA Certification, FEMA-GRAS Certifications, MSDS, Allergen Letters, Prop 65 Certifications, Food Grade Certifications, GMO Certification, BSE, Pesticides and Heavy Metals Certifications, Continuing Food Guarantee, Country of Origin Certifications, Customer Questionnaires, Nutritional Letters, Organic & Country Permissibility, NAFTA, Drug Master Files and other appropriate documents.  Provide support to the Director of Flavor Regulatory and other staff members and be resourceful in attaining information and assistance to complete the various requests.  Maintain high quality work for Business Units and in consequence for our customers.  This requires that all work meets on time service level 95% or higher
  • Responsible for the Retrieval of revenue paid for use of tax paid Distilled spirits in finished product materials.  Responsible for the administration and disclosure of legally binding formulas and processes, which accurately identify the nature and composition of the above-mentioned production materials to the Bureau of Tobacco and Alcohol (TTB).  Is accountable for the accurate calculation, identification and dissemination of raw material values, restricted ingredient values, product yields and alcohol determinations with regard to formula disclosed to the TTB.  In addition, completion of documents related to the TTB e.g. Flavor Ingredient Data Sheets (FIDS) for customers
  • Understanding and preparation of NAFTA certificates in compliance with US customs laws
  • Participate on project teams responsible for providing guiding on regulatory issues and procedural recommendations to Sales Service, Production, Quality Control and Affiliates
  • Support the Director of Flavor Regulatory and the group in other regulatory tasks.  Identify areas of improvement and increased efficiency.  Manage overall Department queue in Document Requestor.  Identify and troubleshoot potential problems impacting on-time performance
  • Update procedures of company’s improvement process and work instructions as needed


  • Technical college degree (B.S.) in Food Science, Food Technology, Food Chemistry or related fields.  Knowledge of toxicology a plus.  Master’s degree preferred
  • Minimum of 7 years’ experience in the flavor and/or food industry in the Regulatory area
  • Certifications and continuing education to ensure current knowledge of regulations, including US Customs/NAFTA requirements
  • Thorough knowledge above flavor regulatory, legal affairs, and TTB requirements, is essential, including maintaining relationships with others who have such knowledge
  • Ability to interpret applicable Regulations
  • Proficient in chemistry and mathematics is essential
  • Excellent Communication skills to influence many diverse internal and external customer groups
  • Proficient in computer knowledge, including database management, spreadsheet creation, and internet navigation skills, and scientific/technical writing skills
  • Must be skilled in analytical thinking, highly organized, well equipped for changing tasks, and an independent worker
  • Ability to mentor other
  • Must be a team player
