To greet visitors and callers while making a good impression that allows them to feel welcome. Guide visitors and callers to the appropriate person to assist them. Provide administrative support to fellow co-workers.
RESPONSIBILITIES:
Daily:
Answer all calls and direct to the appropriate parties
Greet visitors when they enter, have them sign a GMP if necessary, give them a visitor s badge
Inform the appropriate person to assist the visitor
Ask guest to sign out when they leave
Give samples to drivers
Sign for incoming packages
Fax and mail documents for executives as needed
Retrieve the mail before lunch time and distribute mail in mailboxes
Stamp invoices for Accounts Payable
Retrieve and distribute incoming faxes
Keep chairs pushed in and lights turned off in Conference and Board Room
Keep lobby/reception area tidy
Reserve Conference Room and Boardroom for co-workers
Troubleshoot any phone/voicemail issues
Order office supplies for front office employees
Keep front desk stocked with supplies
Work on any special projects assigned by supervisor
Weekly:
Keep track of job positions that are available to tell callers/walk-ins who are interested
Monthly:
Pick up birthday cakes for monthly celebration
Change office calendar for appropriate month
Update all office documents (phone extension list, spouse list, customer list, etc.)
Create and maintain employee announcements
Occasional, Infrequent:
Check postage machine and keep filled
Buy food and set up Board Room for Board Of Directors meetings
Organize and clean out supply cabinet
COMPUTER SKILLS:
Proficient knowledge required in the use of Personal Computer.
Proficient knowledge required in the use of Word program.
Intermediate knowledge required in the use of Excel program.
Basic knowledge required in the use of PowerPoint programs.
ADDITIONAL REQUIREMENTS:
In contact with various employees at all levels when managing calls, they receive as well as visitors that arrive for them.
Represent Compact Industries in a professional manner when dealing with customers, vendors, and daily callers and visitors.
Carry a professional demeanor when dealing with Board Members and Executives.
Have excellent communication skills.
Be self-motivated, organized, and able to prioritize task appropriately.
Handle confidential information appropriately.
Bilingual in Spanish is a plus.
EDUCATIONAL REQUIREMENTS:
High School Degree
Vocational degree or college classes completed a plus
WORK EXPERIENCE:
Previous Customer Service experience
