The Quality Assurance Specialist is responsible for managing the organization and maintenance of the QA department documentation including related data in Windows, SharePoint, and Oracle. Additionally, this position coordinates efforts with suppliers and co-packers to ensure that the most current and accurate information is available for the Quality Assurance Managers to review, and also coordinates reporting of food safety metrics, supplier information, and item information. The QA Specialist will work in concert with the QA Manager to help in QA related issues such as customer complaints, internal quality issues.

Essential Duties and Responsibilities\:

  • Perform all data entry requests related to QA processes.

  • Complete new product set-up documents/Specifications

  • Assist in product mock recalls.

  • Complete and send customer annual requirement documents as requested.

  • Upload customer compliance documents to ICIX and other requested data portals.

  • Organize and coordinate the scheduling of 3rd party food safety and social audits.

  • Reviews documentation for completeness and interacts with suppliers and QA managers to clarify data. Performs all data entry functions.

  • For new and potential suppliers and co-packers\: file and record facility information.

  • For active suppliers and co-packers\: request and maintain up-to-date food safety information (audits, HACCP, etc.)

  • For all Oracle items\: maintain an accurate active item list and release items on hold in Oracle as part of our positive release program.

  • Drives improvement to streamline and implement effective data entry and information management processes within the food safety and team as well as the overall Quality team.

  • Generate reports necessary to communicate food safety information status to the QA Managers and/or upper management, including\:

  • Food safety metrics i.e. customer complaints, EMP compliance

  • Audit status reports

  • Item Information (certifications and status)

  • Assists in the management and collection of documents for certifications (organic, Kosher, etc.) of active items.

  • Assists in the development and maintenance of ingredient and finished product specifications.

  • Works in concert with the QA Managers for prompt resolutions of specific food safety or product quality issues with suppliers and co-packers through product retrieval and shipping support.

  • Takes on advanced roles and responsibilities including special projects as assigned.

  • Develops best methods and drives continuous improvement and efficiencies for QA.

  • Adheres to company GMPs (good manufacturing practices), safety procedures and all other quality processes.

  • Wear PPE (Personal Protective Equipment) when required.

  • All other duties as assigned.

Bachelor&##39;s degree; preferably in a scientific field.


Two to five years related experience and/or training; or equivalent combination of education and experience. Manufacturing environment experience preferred. Prior QA experience/internship with food companies a plus.

Knowledge and Skills\:

Outstanding verbal, written, multi-tasking and presentation skills. Ability to create momentum and foster organizational change. Bilingual in Spanish is beneficial. Must have a working knowledge of MS Word and MS PowerPoint software, and be proficient with MS Excel software. Experience in Oracle is a plus.

  • Comfortable with data maintenance activities and repetitive data entry.

  • Strong analytical and problem-solving skills.

  • Sound administrative and computer skills; MS Office Suite, SharePoint.

  • Analytical thinking and the ability to articulate verbally and written to all levels of management are essential.

  • Self-directed, assertive and possess the maturity commensurate with being an effective specialist

    Travel Requirements\:


    Work Environment/Physical Demands\:

    Approximately; 95% of work is performed in an office environment. 5% of work may involve being in the agricultural or manufacturing environment.
