Purchasing Coordinator

Vanns Spices is a small and growing company specializing in the manufacturing of custom blended and private label spices for the retail grocery, food service, and bulk ingredients market. The Purchasing Coordinator will work with other departments including production, planning, product development, and quality to ensure continuous supply of ingredients and supplies. The Purchasing Coordinator will manage vendor compliance, ensure cost-effective buying strategies, and coordinate inbound freight to maintain optimal inventory levels. This role will oversee approximately $7MM in annual purchases with a keen eye toward quality, cost, and accuracy. Reporting to the Director of Operations, this is an excellent opportunity to lead and exert influence on the company’s future!

Essential Functions:

  • Manage and monitor inventory levels (physical and electronic) to ensure adequate quantities and quality of materials are on hand and available.
  • Prepare and process purchase orders for raw materials, packaging, and supplies.
  • Coordinate logistics to ensure efficient, timely, and cost-effective deliveries.
  • Analyze and determine best assortment of suppliers based on cost, quality, logistics, and lead time.
  • Drive cost savings through favorable contract negotiations, more efficient logistics, and strategic supplier selection.
  • Coordinate with the warehouse and inventory control staff to ensure accuracy in Vanns’ ERP system.
  • Maintain supplier documentation based on Vanns’ Supplier Approval Program
  • Develop and maintain strong relationships with key suppliers
  • Review, evaluate and approve specifications for issuing and awarding supplier contracts
  • Monitor and update buying rules withing Vanns’ ERP system to create useful purchasing reports and facilitate a more automated purchasing system.
  • Remain abreast of industry trends/changes
  • Analyze historical data and compare against current trends to forecast future inventory requirements
  • Implement and document clear, repeatable processes
  • Drive innovation
  • Participates in plant and customer audits, recall activity and other regulatory processes.
  • Monitor claims against suppliers originating from mis-shipments, damage, quality nonconformance, etc. Coordinate with Vanns AP team on the same.
  • Perform other duties or special projects as assigned or needed.


  • Excellent quantitative and analytical skills
  • Thorough understanding of the spice industry and markets that impact cost, supply and demand - e.g. Ingredients and logistics markets, weather and global economic factors
  • Strong communication, presentation and teamwork skills
  • Ability to partner with cross-functional business areas such as R&D, Finance, Warehousing, Operations and Sales
  • Must be able to identify problems, generate options and recommend solutions
  • General knowledge of PC applications such as Microsoft Office, specifically Microsoft Queries within Excel. Basic database understanding a plus.
  • Familiarity with ERP systems a must.

Education and Experience:

  • Bachelor Degree or Associate Degree preferred
  • Minimum of five years&##39; experience in Purchasing or related discipline.
