JOB TITLE: OFFICE MANAGER
REPORTS TO: PLANT MANAGER
POSTION SUMMARY:
To ensure that all Sodus Plant office operations are conducted efficiently and accurately.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Prepare payroll
Prepare weekly & monthly reports for Sodus Plant
Maintain budget book for each department
Prepare month end reports
Maintain personnel records for all full time and temporary employees
Prepare all necessary paperwork for new hires (includes government required forms).
Maintain files for Workers Compensation and OSHA
Continue to look for cost savings in all areas
Track shipping and receiving of raw materials
Manage petty cash and checking account
Monitor and purchase office supplies
Co-ordinate cleaning schedule
Oversee trash removal
Purchase cleaning supplies
Maintain clean office (vacuum, dust)
Maintain records for Vision Quest program
Prepare outgoing mail
Sort and distribute incoming mail
Perform shipping and receiving duties (samples, machine parts etc.) via UPS and Fed Ex
Answer phone and distribute calls
Receive all guests, salespeople
Maintain filling system
Weigh trucks in and out for billing & inventory purposes
Initiate payment records for invoices
Ensure sales orders are complete and routed to shipping department
Input released shipping orders in the PICS systemfor payment
Track pallets
Input purchase orders and receiving documents in the PICS system.
Prepare incoming invoices for payment and forward to billing office
Initiate invoices for venders for product such as; filter waste, tank bottoms, cider and wine stock from small wineries
Maintain Hazardous Communications Book (Must be kept updated at all times
OUALIFICATONS & POSITION REQUIREMENTS:
Minimum High School degree or GED
PC proficiency in MS Office software applications
Proven communication skills, both oral and written
Mainframe exposure
