Responsible for the effective execution of all maintenance work control processes. Coordinate work priority, develop job plans, assign resources and define parts and material. Engage the proper resources to develop a safe, effective and efficient work control plan. Coordinate purchase of parts and materials as needed.

Maintenance Buyer/Planner (Food Manufacturing)

Performance Standards:


  • Review all maintenance requests to determine the validity and accuracy of information, and engage the appropriate resources to set preliminary priority.
  • Review work orders for clear scope of work, realistic completion date, proper lead time of parts, correct equipment identification, and proper authorization.
  • Obtain and organize all information required for maintenance technicians to successfully perform work, including parts list and special kitting instructions.
  • Verify all material, information, tools and labor are available prior to scheduling.
  • Develop and provide job estimates based on the work order including, labor, material and outside services.
  • Actively participate in scheduling meeting with internal customers to finalize priority of work orders, optimum downtime windows, and necessary lead times.
  • Create and publish efficient and workable daily schedules for all plant maintenance technicians
  • Continuously improve the performance of the overall planning and scheduling process by receiving feedback from internal customers.


  • Update all equipment PM’s as required to ensure appropriate inspection focus.
  • Develop and publish daily, weekly, monthly, quarterly, semi-annual and annual preventive maintenance documentation for all new equipment and maintain accurate PM documents for existing in CMMS.
  • Coordinate emergency repairs with other departments as needed.


  • Manage payments of monthly service contracts
  • Organize and communicate schedule to all resources including, maintenance, operations, storeroom, production, outside services and engineering.
  • Manage the status of work orders and backlog from work order submission thru completion
  • Follow-up with maintenance technicians and supervisor to ensure completed work orders with recommended improvement comments are returned in a timely fashion.
  • Maintain accurate metrics on the performance of the planning and scheduling processes and provide timely reports to the Maintenance Manager

Inventory Control/Purchasing

  • Maintain critical spare parts inventory.
  • Maintain appropriate levels of parts inventory.
  • initiate purchase order request for parts and materials and provide supporting documents supplied by vendor or supplier

Human Resources

  • Comply with HR policies and procedures.
  • Comply with relevant employment laws.

Other Factors:

  • Comply with Good Manufacturing Practices.
  • Occasional overtime may be required.
  • Other duties as required

Preferred Education, Experience, and Skills

  • High school diploma or general education degree (GED) required.
  • Some college or Associate Degree preferred.
  • Minimum of (2) years of experience is necessary.
  • Experience with Computerized Maintenance Management Systems is necessary.
  • Knowledge and experience of mechanical and electrical systems is necessary to administer work.
  • Good written and verbal communication skills are required.
  • Demonstrated organizational and planning skills.
  • Demonstrated ability to provide simple and accurate instructions.
  • Demonstrated ability to read machine and process drawings.
  • Can manage multiple priorities or projects simultaneously and keep them progressing to completion.

Working Conditions

  • While performing the duties of this job, the employee may be required to use hands to finger, handle or feel objects, tools or controls.
  • The employee will be required to walk, stand, sit, reach with hands and arms, climb and balance stoop, kneel, crouch or crawl.
  • The employee must regularly lift and or/ move up to 50 pounds.
  • Specific vision abilities required by this job include close, distance, color, peripheral visions, and depth perception.
  • The employee may occasionally be required to work near moving parts, elevated heights, and in humid/dry or very cold/hot environments.
  • Employee may occasionally be required to wear a dust mask or respirator.
