As part of this growth, we are searching for a new member to join our team as an Executive Assistant to the Executive Vice President, Processing Operations at our Millsboro, DE location. The primary purpose of the Executive Assistant is to provide executive administrative support for up to 2 Executive team members. The position will have access to confidential and proprietary data, and reporting, in order to support the respective executive team member(s) and their department(s).

Responsibilities include:

  • General office duties
    • coordinate meetings, calendar; create and proof correspondence, reports; act as liaison with other departments and outside agencies/contacts
  • Prepare and distribute statistical reports and PowerPoint presentations and documents for meetings; maintain records and databases
  • Act as project manager on special projects, assist staff members on special projects; explain policies where necessary process contracts/invoices
  • Manage confidential and proprietary information with discretion and confidentiality
  • Make travel arrangements for executives; handle arrangements for Company events
  • Strong project management skills to oversee multiple competing priorities on a daily basis. Liaison with vendors and customers as a representative of the Mountaire Executive team

Qualifications include:

  • Minimum of 7 years Administrative experience, preferably to senior executive or upper level management
  • Bachelor’s Degree in business administration or a related field is strongly preferred
  • Exceptional proficiency in Microsoft Office suite, as well as exceptional written and verbal communication skills
  • Self-motivated with flexibility to multitask and prioritize in a fast-paced environment
  • Detail-oriented and exemplary organizational, time management and analytical skills
  • Dependable, trustworthy and ability to work with confidential information, while demonstrating poise, tact, diplomacy and exuding professionalism in an executive support role
  • Independent judgment required to plan, prioritize, and organize a diverse workload and to recommend changes in office practices and procedures
